Notice to employees and students of the Faculty of Mechanical Engineering

In view of the current coronavirus situation and in accordance with the proposal of the COVID-19 Coordination Team at the University of Ljubljana based on the opinion of epidemiologists and infectologists, the University of Ljubljana Rector, Igor Papič, has adopted the following resolution. The validity of all measures cancelling all forms of direct instruction and limiting personal contact in all activities at the University of Ljubljana, and recommending the use of other forms of educational activity and communication, is extended until and including 13 April 2020, in accordance with the resolutions adopted by the College of Deans on 12 March 2020. This resolution shall be valid until it is revoked, but at least until and including 13 April 2020, and shall apply immediately.

Notice to employees of the Faculty of Mechanical Engineering

In view of the new guidelines of the Ministry of Labour and the Decree received today on the temporary prohibition of gathering people in educational institutions and universities and independent higher education institutions , I hereby issue the following measures for employees, in addition to the instructions already issued to prevent the spread of coronavirus and the preservation of fundamental functions of the Faculty of Mechanical Engineering.

In detail (and simplified), these measures are implemented at the Faculty of Mechanical Engineering as follows:

  1. All employees will stay at home until further notice, if their work at the Faculty of Mechanical Engineering is not of the outmost urgency.
  2. Only the most urgent activities are carried out by the laboratories and professional services. Urgent activities mean that failure to do so, would result in damage that would be disproportionate to the possible consequences.
  3.  
  4. The urgency of an activity MUST BE DETERMINED DIRECTLY by your superior, i.e. the head of the laboratory, the head of department, the head of the department service or the Dean.
  5. The above mentioned heads of laboratories should, as far as possible (if practicable for everyone), assign appropriate tasks, so that all employees can work from home and thus maintain a 100% personal income. Employees who practice their work from home, perform assigned tasks and can be contacted between 8 AM and 4 PM via telephone, e-mail, Skype, GoToMeteenig, and other forms of remote access. The Heads of departments must report to Human Resources (anja.novak@fs.uni-lj.si) the manes of employees working from home;
  6. If this is not possible, the exercise of the rights and duties arising from the employment relationship is subject to the instructions of the Ministry of Labour, which will be forwarded to the heads of the laboratories.
  7. All employees working from home should write time sheets: how much time, what and what task they worked on each day. The reports must weekly, every Friday, be sent to supervisors, your superiors. For those who keep the records using the Codeks program, select "DDomDo" (Work from home - work obligation) in the "Work leave announcement" section.
  8. Professional tasks in professional services are coordinated by the Secretary of the Faculty of Mechanical Engineering, Dr. T. Češnovar.
  9. Lectures and tutorials are scheduled in the form of distance learning, as agreed. Laboratory exercises should be adapted by heads of laboratories in such a way that they are suitable for a longer period of time, so that students can acquire comparable competences as before and be assessed at the end of the semester.
  10. Preliminary and final examinations are still carried out at a level of the Faculty of Mechanical Engineering. If it is not possible to determine the time of the preliminary examinations, they will be cancelled. If individual professors or teaching assistants have an individually customized way of taking the preliminary and/or final examinations, please report your experience and your intention to perform (compulsory) preliminary examinations to pro-deans of the 1st and 2nd levels.
  11. Laboratory work will be completely interrupted unless it is urgent or because of the disproportionate damage that would result (e.g. multi-week tests, urgent experiments for industrial projects). Researchers should work from home on the remaining activities, as instructed by the heads of laboratories.
  12. When a person arrives at the Faculty of Mechanical Engineering, the head of the department, in agreement with this person, must ensure that there is no more than one person in the room, that the premises are regularly ventilated every 2 hours, that the common areas (door handles, tables, etc.) are regularly cleaned every hour and that similar hygiene measures to those previously described are carried out.
  13. All discussions, meetings, arrangements, instructions, etc. will be performed via electronic channels or telephone.
  14. All the vital functions of the Faculty of Mechanical Engineering will be maintained, provided by the management and professional services, who will work actively within the given remote options via an existing telephone and e-mail between 8 AM and 12 noon. The situation may, of course, lead to minor delays, but it should be borne in mind that the situation is the same throughout Slovenia and Europe, and everyone will adjust to it.
  15. Administrative measures, provisions, etc. will be organised gradually, even backdated. Therefore, we kindly ask all supervisors to immediately report any doubts to the heads of departments or the Dean's Office and, until further notice, proceed at you discretion according to the instructions given.
  16. Now, it is imperative and most important that we keep all Faculty of Mechanical Engineering employees at home as much as possible, to prevent the spread of the virus while maintaining our own health.

Notification UL FME, 13.3.2020

Notice to employees of the Faculty of Mechanical Engineering

In view of the guidelines received from the Ministry of Education and Science and the University of Ljubljana, in addition to the instructions already given, I hereby order the following measures for employees in order to prevent the spread of the coronavirus

  1. Any gathering of people at the University of Ljubljana, Faculty Mechanical Engineering, is prohibited. All direct contacts that are not strictly necessary for the execution of the work process (e.g. socializing in offices and corridors, drinking coffee in a café) are STRICTLY PROHIBITED. Communication should be by telephone and electronic media. If personal contact is absolutely necessary, keep a distance of 3 m and consistently follow all instructions given.
  2. The pedagogical process is carried out as far as possible by distance learning according to the instructions already given.
  3. If possible, the research work should be carried out in a form of distance learning.
  4. Heads of departments must ensure that the basic work process that is necessary to preserve assets is carried out with as little direct contact as possible, remotely and electronically.
  5. In the event that a person's work is not absolutely necessary, he or she agrees with the Head of the relevant department to take the leave of the previous year.
  6. Employees who are urgently needed for the execution of the work process and, if possible, should work at home on the orders of the Dean. The Heads of departments must report to Human Resources (kadrovska.sluzba@fs.uni-lj.si) the names of employees who will be working at home to send them decisions and to inform the labour inspector. These may be the entire department.
  7. For work at home, the working hours are recorded in the previous form. For those who keep the records using the Codeks program, select "DDomDo" (Work from home - work obligation) in the "Work leave announcement" section. It is necessary to keep a record of working hours and to send them together with the weekly report to the e-mail of the immediate superior every Friday, no later than 5.30 pm. The records are kept in the departments.
  8. The Faculty of Mechanical Engineering is open on weekdays between 6:00 and 17:00 and closed on Saturdays.
  9.  The expert services will provide basic support for maintaining the Faculty of Mechanical Engineering functioning remotely by telephone and e-mail. In exceptional cases where the problem cannot be solved without direct contact, make an appointment for a meeting between 8:00 and 12:00.
  10. Meetings and laboratory sessions will be held remotely as far as possible.
  11. KNNN and the Senate meetings will be held in Lecture Room V/8, subject to the minimum distance of 3 m and the instructions already given. The Chairman of the Committee decides on the manner in which other Senate committees are to be held. If direct sessions are required, they will be held in V/8.

The measure is valid until 31 March 2020 or until its repeal.

Notification UL FME, 11.3.2020

Dear Sirs and Madams,

On the basis of the decision just received from the Rector (see appendix below), all forms of direct educational work will be abolished and personal contacts will be limited where possible.

In addition to the measures already decided, VL1 and VL2 will no longer be carried out in laboratories as of today. All lecturers should use electronic forms to adapt the performance of VL laboratory work to the given possibilities, as is already the case in classroom work and lectures.

In addition, all examinations and intermediate examinations will be cancelled. We will try to find the possibilities of distance learning in electronic form and will keep you informed.

In addition to the pedagogical, non-personal forms of communication (e-mail, video conferencing, telephone communication, etc.) all other personal contacts should be used as far as possible.

The decision is valid until at least 23 March 2020 or until its termination.

Notification UL FME, 10.3.2020

Dear Sirs and Madams,

from tomorrow (Wednesday, March 11th, 2020) onwards, all lectures will be carried out according to the “online” electronic format.
All students will receive an invitation from a teacher or assistant via email with a link to the lecture.

Starting tomorrow, all laboratory exercises in small and large groups will be held in the laboratories of the Faculty, according to the schedule.
All details regarding the exercises in the laboratories, will be available to students on the course web page (VIS programme), which needs to be regularly monitored for any changes.

Notification UL FME, 9.3.2020

Dear Sirs and Madams,

In accordance with the instructions of the University of Ljubljana, from today on the following measures will be taken to prevent the spread of infection with the new virus at work at the Faculty of Mechanical Engineering. The work and educational process will continue in the planned scope, only the method of implementation will be adapted to the current situation.

Implementation for the teaching process:

1. the lectures and tutorials at the Faculty of Mechanical Engineering will be suspended on 9 March 2020 at 12 noon to prepare the transition to electronic implementation and will be continued in electronic form as planned on Wednesday 11 March 2020. 2. the lectures and tutorials will be conducted as planned from Wednesday, 11 March 2020, using the GoToMeeting application. Detailed instructions will be made available to students and educators today and tomorrow.

General recommendations:

1.      we do not recommend visits of staff and students to potentially infected areas,

2.      we do not recommend visits from abroad from infected areas,

3.      we will eliminate all meetings where more people are in close contact (congresses, formal academies, graduation ceremonies, sports education),

4.      the defence of the final works will be carried out without an audience,

5.      all non-urgent meetings and direct contacts will be cancelled,

6.      communication will be carried out by telephone or electronic media (e-mail, Skype,  

        BlueJeans, GoToMeeting ...) Duration of the measures: until revocation.

 

The measures are intended solely to prevent the spread of the infection and should not cause unnecessary disturbance.

KAJ JE KORONAVIRUS

Dear employees / students / external associates and visitors of the Faculty of Mechanical Engineering.

In accordance with the instructions of the Ministry of Science, Education and Science and the University of Ljubljana, a coordination team has also been set up at the Faculty of Mechanical Engineering of the University of Ljubljana, which has prepared an action plan for ensuring continuous work at Faculty of Mechanical Engineering, University of Ljubljana, during the coronavirus epidemic (SARS-CoV-2). In addition to constantly updating the plan, the team will also coordinate activities and dissemination of information during the implementation of preventive tasks and the possible occurrence of coronavirus (SARS-COvCoV-2). The team comprises:

- Tone Češnovar, PhD (Secretary)

- Anja Novak, Head of Human resource department

- Vincenc Tomc, Head of Technical and maintenance department

 

First of all, we would like to emphasize that, given the current epidemiological situation, the work at the faculty is proceeding smoothly according to the established schedule. Therefore, we first and foremost ask all of you to remain calm. In response to the situation, the Faculty has set up an expert coordination team, which is responsible for preparing the Plan for ensuring continuous work at the Faculty, its implementation and, alongside providing constant updates to the plan, the coordination of activities during the occurrence of coronavirus (SARS-CoV-2). Due to the changing situation, all activities will be constantly monitored and coordinated both within the University and with key institutions in the country. Appropriate treatment will be provided for employees and students in the event of a proven risk of infection. We will inform you of any changes in the workflow. Protocols of operation are also being prepared and will be provided to you as soon as possible. Until further notice, work at the Faculty and professional bases is taking place uninterruptedly, of course, alongside more intensive implementation of preventive measures.

 

At this point, we would like to reiterate the key preventive measures communicated to the public by the NIPH (https://www.nijz.si/en/prevention-of-compact-with-virus-sars-cov-2019), the World Health Organization – WHO (https://www.who.int/emergencies/diseases/novel-coronavirus-2019/advice-for-public) and the European Centre for Disease Prevention and Control – ECDC (https://www.ecdc.europa.eu/en/ novel-coronavirus-china / questions-answers).

 

The key preventive measures include:

– Avoiding close contact with people who show signs of illness;

– Compliance with cough hygiene;

– Consistent implementation of hand hygiene (in particular, washing hands and observing the principle of non-contact);

– If water and soap are not available, a dedicated hand sanitizer containing at least 60% alcohol may be used instead;

– Avoiding enclosed public spaces with many people;

– Anyone showing signs of illness should stay home and avoid contact with people and first inform their GP about the symptoms by telephone; based on your specific case, your GP or other healthcare worker will give you instructions on what to do next.

We urge you to continue to follow the NIJZ instructions and respond to them appropriately.
