Subject: Instructions for work at the Faculty of Mechanical Engineering after 26 June 2020

Dear all!

The Government of the Republic of Slovenia adopted the Decree on the Temporary Measures on decreasing the risk of infection and the spreading of the infection of SARS-CoV-2 virus, Official Journal of the Republic of Slovenia, No. 90/2020. With this decree the disinfection of the hands and the use of a protective mask (or some other form of protection of the mouth and nose area of the face) is obligatory in the common areas (corridors, toilets, etc.) and all unavoidable direct business contacts. When working at the Faculty of Mechanical Engineering, according to the recommendations of the NIJZ, we continue to follow instructions below. 

Knowledge tests and defences should be carried out as planned. When conducting them on the premises of the Faculty of Mechanical Engineering, a distance of 1.5 m and general measures to prevent infections are considered. During the defence, only as many participants can stay in the room as is necessary to ensure a distance of at least 1.5 m from one another.
In all forms of direct contact with the students (knowledge tests, defences), the provider must always clearly inform the students that they must stay at home and call a personal doctor if symptoms or suspicion of a respiratory infection arise. 

The following general measures to prevent the spread of infections will continue to be taken into account in all activities at the Faculty of Mechanical Engineering:

  • distance of 1.5 m from one another;
  • washing hands or hand disinfection after each contact with items and surfaces used by other people,
  • the same items should be used by as few people as possible,
  • do not touch your face (eyes, nose and mouth) with dirty/unwashed hands,
  • pay attention to proper cough hygiene,
  • ventilation of the premises every two hours.     

 

In case of suspicion of infection, staff members and students MUST stay at home and call their doctor or on-call doctor and follow his or her instructions and recommendations already given.

Subject: Instructions for work at the Faculty of Mechanical Engineering after 23 June 2020

Dear all!

The Government of the Republic of Slovenia adopted the Decree on the Termination of the Decree on the Temporary Prohibition of Gathering People in Institutions in the Field of Education, Official Journal of the Republic of Slovenia, No. 86/2020, page 3177, which shall enter into force on 23 June 2020. This Decree revokes the previous instructions. When working at the Faculty of Mechanical Engineering, according to the recommendations of the NIJZ, we continue to follow instructions below.  

Knowledge tests and defences should be carried out as planned. When conducting them on the premises of the Faculty of Mechanical Engineering, a distance of 1.5 m and general measures to prevent infections are considered. During the defence, only as many participants can stay in the room as is necessary to ensure a distance of at least 1.5 m from one another.

Subject: Instructions for work at the Faculty of Mechanical Engineering after 1 June 2020

Dear Sir/Madam!

In accordance with the decree cancelling the epidemic of SARS-CoV-2, the notification of the UL and guidelines of the National Institute of Public Health, I hereby issue the following instruction for the Faculty of Mechanical Engineering in the period after 1 June 2020. The measures are valid until revoked.

  Content Measure. All measures taken on the Faculty of Mechanical Engineering must follow the GENERAL GUIDELINES listed below.
1. Lectures Are held online.
2. Practical work If they cannot be held online and are necessary for the fulfilment of the study obligations, they are done at the Faculty of Mechanical Engineering according to the instructions given in Add. 2. 
3. Colloquiums, exams An online implementation is recommended as far as possible. If the knowledge test cannot be carried out online, it will be carried out at the Faculty of Mechanical Engineering following the instructions in Add. 3. 
4.

Defences of final papers

Are held online until cancellation.
5. Individual work with a mentor If it cannot be held online and is necessary for the fulfilment of the study obligations, it is done at the Faculty of Mechanical Engineering according to the instructions given in Add. 2.
6. Library Lending of physical library material is enabled. Students order it by e-mail and arrange to pick it up by mail or in front of the Faculty of Mechanical Engineering. The reading room remain closed.
7. Pedagogical, research and professional work Distance between working places must be ensured (at least 2 m). The Head determines the method of work, the regime of shift work and the protocol of transition between rooms.
8. Meetings If possible, they should be done online. If this is not possible, they are held in one of the lecture halls, considering the general instructions.
9.

Business trips

According to the NIJZ guidelines and recommendations already given.
10. Informal gatherings Should be done online. The kitchenettes remain closed.

 

Add. 2 Laboratory Work 

Laboratory work is carried out according to the instructions given in the previous notification.

 

Add. 3 Examination

Before conducting the examination, students should be clearly reminded that in case of symptoms or suspected respiratory infection, they should stay at home and call a personal physician.
Written examinations are conducted by dividing the enrolled students into smaller groups who write in several lecture halls, which requires a larger number of supervisors. It should be noted that the capacity of the lecture halls is lower due to infection prevention measures, namely:

Students must sit in the lecture halls in such a way that only every third seat in a row and every second row is occupied. For this purpose, the seats in the lecture halls, on which students can sit, are marked with a green sticker. When planning and carrying out the examination, the general instructions on infection prevention published on the website of the Faculty of Mechanical Engineering must be observed (2 meters distance from one another, constant ventilation of the room, the examiner must wear gloves, compulsory wear of protective masks for practitioners and students, who are obliged to provide masks themselves).

The examination should be as short as possible. After completion of the examination, the lecture hall must be ventilated and disinfected, so the next examinations can take place in the same lecture hall 1 hour after completion. Providers of proficiency tests must notify the Head of TVS at least 3 days in advance so that disinfection of the premises can be arranged in good time after the examinations have been held. The Students office will notify the TVS about the regular examination terms.

Students gather 15 minutes before the start of the examination in front of the lecture hall where the examination will take place, taking into account the movement protocol in the building (in a row, with a 2 m distance between individuals). The students disinfect their hands before entering the lecture hall. Disinfectants are installed in the corridors. Afterwards, under the supervision of the supervisor and after identifying the students individually, the students enter the lecture hall, keeping a distance of 2 meters, and sit down on the seats marked with a green sticker. The use of a face mask is advised also during the exam. Students with longer writing periods will be assigned to such places by the supervisor so that they do not prevent other students from leaving the room.

It is not permitted to borrow pens and prescribed accessories from one another. When the students have finished writing, they individually bring the examination paper with them and place it in a box prepared by the supervisor. The supervisor uses gloves when handling the examination papers. The examination papers are left in place for 24 hours ((s)he washes his(hers) hands after the assessment).

When students complete a written exam, they must leave the building immediately. Hanging out in the Faculty of Mechanical Engineering building is not permitted. The exception is the use of toilets.

Oral exams are conducted through online applications.

 

Add. 7 Pedagogical, research and professional work 

In accordance with the decree cancelling the epidemic of SARS-CoV-2 (COVID 19) the order for working at home due to extraordinary circumstances is being cancelled after 31.5.2020.

Head determines the method of work and the regime of shift work so that there are as few employes in the same room as possible. If possible only one person should work in one room.

Distance between working places must be ensured (at least 2 m).

If needed safety barriers can be installed.

Work must be organized in a way that as few people as possible use the same objects and equipment, if that is not possible gloves must be used and the following general instructions must be considered.

 

General instructions:

a. The Faculty of Mechanical Engineering is, till 30 June 2020, only open to employees, on weekdays between 6:00 and 20:00 and closed on Saturdays. Access is possible ONLY pass the Security personnel, who checks that these instructions are being implemented (points b, c and h). Any urgent external visits must be announced in advance by the Head of the sectorial unit and registered with the Security personnel.

b. The use of a protective mask is advised in the common areas (corridors, toilets, etc.) and all unavoidable direct business contacts. The prtective mask must continue to be worn in enclosed public spaces where the distance between them is less than 1.5 meters. Used disposable face masks must be disposed upon exit, in a container provided for this purpose on the exit staircase landing of the Faculty of Mechanical Engineering. Employees wash their washable protective face masks at home.

c. In the Faculty of Mechanical Engineering facilities, in addition to the above point, we also take into account:

  • in the areas with many people a distance of at least 1,5 to 2 meters between people must be ensured, larger distance means better safety
  • washing or hand disinfection after every contact with the surface used by several people
  • we don't touch our face (mouth, nose, eyes), unless our hands are clean
  • we consider the cough hygiene
  • disinfection of common contact surfaces and objects used by several people whenever objects or people are exchanged in the premises
  • ventilation of the premises every two hours
  • only one person enters the elevator
  • we enter work places and other areas individually
  • we don't shake hands with others.

d. Communication is done by telephone or electronic means. We avoid all non-urgent direct contact.

e. Used equipment brought into the Faculty from outside (from home, from other users...) must be pre-disinfected in agreement with the security personnel.

f. Students avoid gathering in groups on arrival at the Faculty and do not remain on the Faculty premises. They only use personal accessories when performing exercises or during examinations.

g. Students and other external visitors, whose work is absolutely necessary for the operation of the faculty, must themselves provide appropriate protective equipment (protective mask, goggles, gloves...).

 

In case of suspicion of infection, staff members and students MUST stay at home and call their doctor or on-call doctor and follow his or her instructions and recommendations already given.

Subject: Instructions for the gradual release of restrictive measures and implementation of the study process after 18 May 2020

In accordance with decisions of the Rector for ''Covid-19 Measures'' of 15 April 2020, ''Covid-19 Measures - Guidelines for ZRD'' of 22 April 2020, ''Covid-19 Measures'' of 7 May 2020, and ''Covid-19 Measures'' of 14 May 2020, I hereby issue the following instruction for the Faculty of Mechanical Engineering in the transitional period after 18 May 2020. The measures are valid until revoked.

  Content Measure. All measures taken on the Faculty of Mechanical Engineering must follow the GENERAL GUIDELINES listed below.

8. Meetings If possible, they should be done online. If this is not possible, they are held in one of the lecture halls. Meetings with external collaborators are held online.

Add. 2 Laboratory Work 


Laboratory work necessary to fulfil the study obligations in the shortest possible time can be carried out. It shall be taken into account that laboratory work shall be carried out within the time limit set by the timetable, which shall be communicated to students in the usual manner. When planning and carrying out the laboratory work, the general instructions for infection prevention shall be followed (distance 2 meters, disinfection of equipment and objects, ventilation, protective masks for all participants, which the students must bring themselves; and other protective equipment - gloves, goggles... depending on the nature of the laboratory work).
The number of students doing laboratory work is reduced by at least a factor of 2 - half of the group at one lab work is assumed. The presence of an assistant and a technical assistant must be taken into account when planning laboratory work. After laboratory work, the laboratory must be ventilated and disinfected so that there should be a break of about 1 hour between each laboratory work.
Before carrying out laboratory work, students should be clearly reminded that if symptoms or suspicion of a respiratory infection arise, they should stay at home and call a personal physician.
Healthy students should gather in front of the laboratory at least 10 minutes before starting laboratory work, following the movement protocol around the building (in a row, 2 m distance between people).  Hands should be disinfected before entering the laboratory. The door to the laboratory should be open so that the use of a hook is not necessary. The laboratory should be entered individually. The use of a mask and other protective equipment is mandatory when performing laboratory work.
Students wash or disinfect their hands after completing laboratory work and leave the building as soon as possible. Hanging out in the Faculty of Mechanical Engineering building is not permitted. The exception is the use of toilets. 

Add. 3 Examination

The student is obliged to put the mask back on in case the professor approaches him.  The masks must be correctly used, always follow procedures for how to put on and remove a mask. When putting on or removing a mask only hold it for the ear loops, do not touch other parts of the mask.Students with longer writing periods will be assigned to such places by the supervisor so that they do not prevent other students from leaving the room.

It is not permitted to borrow pens and prescribed accessories from one another. When the students have finished writing, they individually bring the examination paper with them and place it in a box prepared by the supervisor. The supervisor uses gloves when handling the examination papers. The examination papers are left in place for 24 hours ((s)he washes his(hers) hands after the assessment), or they can be scanned and scanned copies are then evaluated for the purpose of immediate assessment.

When students complete a written exam, they must leave the building immediately. Hanging out in the Faculty of Mechanical Engineering building is not permitted. The exception is the use of toilets.

Oral exams are conducted through online applications.

Access is possible ONLY pass the Security personnel, who checks that these instructions are being implemented (points b, c and h). Any urgent external visits must be announced in advance by the Head of the sectorial unit and registered with the Security personnel.

b. The use of a protective mask is obligatory in the common areas (corridors, toilets, etc.) and all unavoidable direct business contacts. Used disposable face masks must be disposed upon exit, in a container provided for this purpose on the exit staircase landing of the Faculty of Mechanical Engineering. Employees wash their washable protective face masks at home.

c. In the Faculty of Mechanical Engineering facilities, in addition to the above point, we also take into account:

  • a distance of at least 2 meters between people,
  • washing or hand disinfection,
  • disinfection of common contact surfaces and objects used by several people whenever objects or people are exchanged in the premises,
  • ventilation of the premises every two hours.
  • only one person enters the elevator.

d. Only one person can work in the cabinet/laboratory with a size of approx. 14m2, 2 persons per area of 28m2... If the cabinet has more employees and the area per employee is less than 14m2/employee, other employees work from home or the Head organizes the work in shifts (in sets by days). Depending on the requirements of the work process, the Head of the sectorial unit draws up a weekly/monthly schedule of staff working in the faculty Mechanical Engineering and those working from home.

e. Those employees who are unable to come to work due to the non-functioning of individual primary school classes or who belong to a risk group and are able to work from home may be allowed to work from home with the consent of the presumed for the duration of the intervention measures (until 31 May 2020). The instructions for home-based employees remain unchanged.

f. Communication is done by telephone or electronic means. We avoid all non-urgent direct contact. The handover of materials and objects in physical form (contracts, signatures, mail, samples, etc.) is carried out after prior agreement by telephone on the method of acceptance and using general instructions.

g. Used equipment brought into the Faculty from outside (from home, from other users...) must be pre-disinfected in agreement with the security personnel.

h. Students avoid gathering in groups on arrival at the Faculty and do not remain on the Faculty premises. They only use personal accessories when performing exercises or during examinations.

i. Students and other external visitors, whose work is absolutely necessary for the operation of the faculty, must themselves provide appropriate protective equipment (protective mask, goggles, gloves...). Each entry and exit shall be recorded by the Security personnel. Student group entries are recorded by the provider of laboratory work or examinations.

In case of suspicion of infection, staff members and students MUST stay at home and call their doctor or on-call doctor and follow his or her instructions and recommendations already given.

Notice to employees 

Subject: Measures to prevent the spread of coronavirus after 11 May 2020 or during the transitional period

Dear Sir/Madam!

In accordance with the decision of the Rector for ''Covid-19 Measures'' of 15 April 2020, ''Covid-19 Measures - Guidelines for ZRD'' of 7 April 2020, and ''Covid-19 Measures'' of 7 May 2020, I hereby issue the following instruction for the Faculty of Mechanical Engineering in the transitional period after 11 May 2020. The measures are valid until cancellation.

  CONTENT Measure. All measures taken on the Faculty of Mechanical Engineering must follow the general guidelines listed below.
1. Lectures Remain online.
2. Practical work Remain online until 18 May or decision of the Ministry of Science, Education and Sports
3. Colloquiums, exams Remain online until 18 May or decision of the Ministry of Science, Education and Sports
4. Defenders of final papers Remain online until 18 May or decision of the Ministry of Science, Education and Sports
5. Research and professional work One person per cabinet, the Head, in agreement with the employees, determines the method of work (at the Faculty of Mechanical Engineering or from home), the regime of shift work and the protocol of transition between rooms.
6. Meetings If possible, they should be done online. If the session cannot be conducted remotely, it will be held in the large lecture room. Meetings with external collaborators are held online.
7. Business trips According to the NIJZ guidelines and recommendations already given.
8. Informal gatherings ONLINE only. The kitchenettes remain closed.
 

 

General instructions:

a. The Faculty of Mechanical Engineering is only open to employees, on weekdays between 6:00 and 17:00 and closed on Saturdays. Access is possible ONLY pass the Security personnel, who checks that these instructions are being implemented (points b, c and h). Any urgent external visits must be announced in advance by the Head of the sectorial unit and registered with the Security personnel.

b. The use of a protective mask is obligatory in the common areas (corridors, toilets, etc.) and all unavoidable direct business contacts.

b1. mployees are given three washable masks, which shall be washed at home after use according to instructions,
b2. the heads of departments inform the head of TVS who will take over the protective masks for PRE and distribute them to the employees,
b3. used disposable face masks must be disposed upon exit, in a container provided for this purpose on the exit staircase landing of the Faculty of Mechanical Engineering.

c. In the Faculty of Mechanical Engineering facilities, in addition to the above point, we also take into account:

  • a distance of at least 2 meters between people,
  • washing or hand disinfection,
  • disinfection of common contact surfaces and objects used by several people whenever objects or people are exchanged in the premises,
  • ventilation of the premises every two hours.

d. Only one person can work in a cabinet. If several employees are sharing a cabinet, other employees work from home. Depending on the requirements of the work process, the Head of the sectorial unit draws up a monthly schedule of staff working in the faculty Mechanical Engineering and those working from home. The schedule of staff is sent to the HR in the attached XLS file by the beginning of the month for the following month, which will take the appropriate decisions.

e. Those employees who are unable to come to work due to a lack of public transport, closed kindergartens or schools and who are able to work from home can, with their consent, continue to work from home until public transport is put into operation. The instructions for home-based employees remain unchanged.

f. Communication is done by telephone or electronic means. We avoid all non-urgent direct contact. The handover of materials and objects in physical form (contracts, signatures, mail, samples, etc.) is carried out after prior agreement by telephone on the method of acceptance and using general instructions.

Notice to employees and students

In view of the current coronavirus situation and in accordance with the proposal of the COVID-19 Coordination Team at the University of Ljubljana based on the opinion of epidemiologists and infectologists, the University of Ljubljana Rector, Igor Papič, has adopted the following resolution.


With this resolution of the Rector (29.4.2020), the mesaures in the notification of Dean (24.04.2020) are REVOKED.

Notice to employees 

Dear Sir/Madam!

In accordance with the decision of the Rector for ''Covid-19 Measures'' of 15 April 2020 and ''Covid-19 Measures - Guidelines for ZRD'' of 22 April 2020, I hereby issue the following instruction for the Faculty of Mechanical Engineering in the transitional period after 4 May 2020. The measures are valid until cancellation.

  CONTENT Measure. All measures taken on the Faculty of Mechanical Engineering must follow the general guidelines listed below.
1. Lectures Stay on-line.
2. Practical work Whenever possible, they are carried out online. Exceptionally, practical work can be carried out in the LAB if it cannot be done online, as soon as public transport is available.
3. Colloquiums, exams Large groups online. Where it is not possible to conduct online exams in small groups, they are conducted in large classrooms if public transport is available.
4. Defenders of final papers They take place online or in large classrooms without an audience.
5. Research and professional work One person per cabinet, the Head determines the protocol of transitions between rooms and the regime of work in shifts.
6. Meetings If possible, they should be done online. If the session cannot be conducted remotely, it will be held in the large lecture room. Meetings with external collaborators are held online.
7. Business trips According to the NIJZ guidelines and recommendations already given.

General instructions:

  • The Faculty of Mechanical Engineering is only open to employees, on weekdays between 6:00 and 17:00 and closed on Saturdays. Access is possible pass the Security personnel, who checks that these instructions are being implemented (points b, c and h).
  • The use of a protective mask is obligatory in the common areas (corridors, toilets, etc.) and all unavoidable direct business contacts. Used disposable face masks must be disposed upon exit, in a container provided for this purpose on the exit staircase landing of the Faculty of Mechanical Engineering. Employees wash their washable protective face masks at home.
  • In the Faculty Mechanical Engineering facilities, in addition to the above point, we also take into account:
  • a distance of at least 2 meters between people,
  • washing or hand disinfection,
  • disinfection of common contact surfaces and objects used by several people whenever objects or people are exchanged in the premises,
  • ventilation of the premises every two hours.

Only one person can work in a cabinet. If several employees are sharing a cabinet, other employees work from home. Depending on the requirements of the work process, the Head of the sectorial unit draws up a monthly schedule of staff working in the faculty Mechanical Engineering and those working from home. The schedule of staff is sent to the HR in the attached XLS file by the beginning of the month for the following month, which will take the appropriate decisions. Those employees who are unable to come to work due to a lack of public transport, closed kindergartens or schools and who are able to work from home can, with their consent, continue to work from home until public transport is put into operation. The instructions for home-based employees remain unchanged. Communication is done by telephone or electronic means. We avoid all non-urgent direct contact. The handover of materials and objects in physical form (contracts, signatures, mail, samples, etc.) is carried out after prior agreement by telephone on the method of acceptance and using general instructions. Used equipment brought into the Faculty from outside (from home, from other users...) must be pre-disinfected in agreement with the security personnel. Students and other external visitors, whose work is absolutely necessary for the operation of the faculty, must themselves provide appropriate protective equipment.

In case of suspicion of infection, staff members MUST stay at home and call their doctor or on-call doctor and follow his or her instructions and recommendations already given.

In view of the current coronavirus situation and in accordance with the proposal of the COVID-19 Coordination Team at the University of Ljubljana based on the opinion of epidemiologists and infectologists, the University of Ljubljana Rector, Igor Papič, has adopted the following resolution. Notice to employees of the Faculty of Mechanical Engineering

In view of the new guidelines of the Ministry of Labour and the Decree received today on the temporary prohibition of gathering people in educational institutions and universities and independent higher education institutions , I hereby issue the following measures for employees, in addition to the instructions already issued to prevent the spread of coronavirus and the preservation of fundamental functions of the Faculty of Mechanical Engineering.

In detail (and simplified), these measures are implemented at the Faculty of Mechanical Engineering as follows:

  1. All employees will stay at home until further notice, if their work at the Faculty of Mechanical Engineering is not of the outmost urgency.
  2. Only the most urgent activities are carried out by the laboratories and professional services. Urgent activities mean that failure to do so, would result in damage that would be disproportionate to the possible consequences.
  3.  
  4. The urgency of an activity MUST BE DETERMINED DIRECTLY by your superior, i.e. the head of the laboratory, the head of department, the head of the department service or the Dean.
  5. The above mentioned heads of laboratories should, as far as possible (if practicable for everyone), assign appropriate tasks, so that all employees can work from home and thus maintain a 100% personal income. Employees who practice their work from home, perform assigned tasks and can be contacted between 8 AM and 4 PM via telephone, e-mail, Skype, GoToMeteenig, and other forms of remote access. The Heads of departments must report to Human Resources (anja.novak@fs.uni-lj.si) the manes of employees working from home;
  6. If this is not possible, the exercise of the rights and duties arising from the employment relationship is subject to the instructions of the Ministry of Labour, which will be forwarded to the heads of the laboratories.
  7. All employees working from home should write time sheets: how much time, what and what task they worked on each day. The reports must weekly, every Friday, be sent to supervisors, your superiors. For those who keep the records using the Codeks program, select "DDomDo" (Work from home - work obligation) in the "Work leave announcement" section.
  8. Professional tasks in professional services are coordinated by the Secretary of the Faculty of Mechanical Engineering, Dr. T. Češnovar.
  9. Lectures and tutorials are scheduled in the form of distance learning, as agreed. Laboratory exercises should be adapted by heads of laboratories in such a way that they are suitable for a longer period of time, so that students can acquire comparable competences as before and be assessed at the end of the semester.
  10. Preliminary and final examinations are still carried out at a level of the Faculty of Mechanical Engineering. If it is not possible to determine the time of the preliminary examinations, they will be cancelled. If individual professors or teaching assistants have an individually customized way of taking the preliminary and/or final examinations, please report your experience and your intention to perform (compulsory) preliminary examinations to pro-deans of the 1st and 2nd levels.
  11. Laboratory work will be completely interrupted unless it is urgent or because of the disproportionate damage that would result (e.g. multi-week tests, urgent experiments for industrial projects). Researchers should work from home on the remaining activities, as instructed by the heads of laboratories.
  12. When a person arrives at the Faculty of Mechanical Engineering, the head of the department, in agreement with this person, must ensure that there is no more than one person in the room, that the premises are regularly ventilated every 2 hours, that the common areas (door handles, tables, etc.) are regularly cleaned every hour and that similar hygiene measures to those previously described are carried out.
  13. All discussions, meetings, arrangements, instructions, etc. will be performed via electronic channels or telephone.
  14. All the vital functions of the Faculty of Mechanical Engineering will be maintained, provided by the management and professional services, who will work actively within the given remote options via an existing telephone and e-mail between 8 AM and 12 noon. The situation may, of course, lead to minor delays, but it should be borne in mind that the situation is the same throughout Slovenia and Europe, and everyone will adjust to it.
  15. Administrative measures, provisions, etc. will be organised gradually, even backdated. Therefore, we kindly ask all supervisors to immediately report any doubts to the heads of departments or the Dean's Office and, until further notice, proceed at you discretion according to the instructions given.
  16. Now, it is imperative and most important that we keep all Faculty of Mechanical Engineering employees at home as much as possible, to prevent the spread of the virus while maintaining our own health.

Notice to employees of the Faculty of Mechanical Engineering

In view of the guidelines received from the Ministry of Education and Science and the University of Ljubljana, in addition to the instructions already given, I hereby order the following measures for employees in order to prevent the spread of the coronavirus

  1. Any gathering of people at the University of Ljubljana, Faculty Mechanical Engineering, is prohibited. All direct contacts that are not strictly necessary for the execution of the work process (e.g. socializing in offices and corridors, drinking coffee in a café) are STRICTLY PROHIBITED. Communication should be by telephone and electronic media. If personal contact is absolutely necessary, keep a distance of 3 m and consistently follow all instructions given.
  2. The pedagogical process is carried out as far as possible by distance learning according to the instructions already given.
  3. If possible, the research work should be carried out in a form of distance learning.
  4. Heads of departments must ensure that the basic work process that is necessary to preserve assets is carried out with as little direct contact as possible, remotely and electronically.
  5. In the event that a person's work is not absolutely necessary, he or she agrees with the Head of the relevant department to take the leave of the previous year.
  6. Employees who are urgently needed for the execution of the work process and, if possible, should work at home on the orders of the Dean. The Heads of departments must report to Human Resources (kadrovska.sluzba@fs.uni-lj.si) the names of employees who will be working at home to send them decisions and to inform the labour inspector. These may be the entire department.
  7. For work at home, the working hours are recorded in the previous form. For those who keep the records using the Codeks program, select "DDomDo" (Work from home - work obligation) in the "Work leave announcement" section. It is necessary to keep a record of working hours and to send them together with the weekly report to the e-mail of the immediate superior every Friday, no later than 5.30 pm. The records are kept in the departments.
  8. The Faculty of Mechanical Engineering is open on weekdays between 6:00 and 17:00 and closed on Saturdays.
  9.  The expert services will provide basic support for maintaining the Faculty of Mechanical Engineering functioning remotely by telephone and e-mail. In exceptional cases where the problem cannot be solved without direct contact, make an appointment for a meeting between 8:00 and 12:00.
  10. Meetings and laboratory sessions will be held remotely as far as possible.
  11. KNNN and the Senate meetings will be held in Lecture Room V/8, subject to the minimum distance of 3 m and the instructions already given. The Chairman of the Committee decides on the manner in which other Senate committees are to be held. If direct sessions are required, they will be held in V/8.

The measure is valid until 31 March 2020 or until its repeal.

Notification UL FME, 11.3.2020

Dear Sirs and Madams,

On the basis of the decision just received from the Rector (see appendix below), all forms of direct educational work will be abolished and personal contacts will be limited where possible.

In addition to the measures already decided, VL1 and VL2 will no longer be carried out in laboratories as of today. All lecturers should use electronic forms to adapt the performance of VL laboratory work to the given possibilities, as is already the case in classroom work and lectures.

In addition, all examinations and intermediate examinations will be cancelled. We will try to find the possibilities of distance learning in electronic form and will keep you informed.

In addition to the pedagogical, non-personal forms of communication (e-mail, video conferencing, telephone communication, etc.) all other personal contacts should be used as far as possible.

The decision is valid until at least 23 March 2020 or until its termination.
