Notification UL FME, 16.10.2020

Subject: Notice about COVID-19 Measures as of 16 October 2020

Dear All!

In light of the worsened epidemiological situation, our entire pedagogical process, that is all lectures and practical work, will be transferred to distance learning in accordance with the Rector’s recommendation dated 12 October 2020 and the government’s decision published in the Official Gazette of the Republic of Slovenia No 143/2020; the published timetable remains unchanged. This measure applies until further notice, but not less than two weeks.

Students that have tested positive for Covid-19 or have received a quarantine decision, please notify us via email to studentski.referat@fs.uni-lj.si. The protocol for how to proceed in the case students are infected is provided in the Infection protocol.pdf.

We suggest that you act responsibly and limit the number of personal contacts to the minimum. If you need to be in face-to-face contact with anyone, please observe the following: maintain a minimum physical distance of 1.5m; wear a face mask; wash and/or disinfect your hands, regularly open windows and doors in indoor areas; and disinfect surfaces you come into contact with. Try using electronic media or your phone to communicate with others as much as possible.

Heads of Organisational Units must organise work so as to preserve the Faculty’s fundamental functions by observing the National Institute of Public Health - NIPH’s guidelines. We recommend allowing one person on a surface area of up to 15m2 – everyone else should agree with their Head of Organisational Unit to work in turns, that is one week from home and one week at the Faculty.

If a Head of Organisational Unit allows an employee to work from home, such employee must record the days when they work outside of the Faculty into the CODEKS in order to enable correct payroll accounting and record keeping. When employees carry out distance work, they must keep timelines and achieve the results of work expected by the relevant Heads within the determined period of time.

In the case a quarantine decision is issued to an employee, they must notify the HR Department and their relevant supervisor at the earliest convenience, as well as submit the decision to the HR Department immediately after receiving it. If such employee can work from home by following their supervisor’s instructions, they must keep the timeline regardless of their job position.

If an employee has tested positive for Covid-19, they start their sick leave and must submit the doctor’s note to the employer. If they feel well and have previously agreed with their supervisor to work from home, the HR Department must be informed about the agreed work from home and the duration of such work, since such employee does not receive a decision from the Ministry of Health in the case of a confirmed infection.

Secretaries of Organisational Units must provide the HR Department with a list of the employees who need employer decision to arrive at work from another region.

In accordance with the Ordinance amending the Ordinance temporarily prohibiting the offering and sale of goods and services to consumers in the Republic of Slovenia published in the Official Gazette of the Republic of Slovenia No 143 of 15 October 2020, which prohibits the provision of catering services and food and drinks service in catering facilities (inns, restaurants, pubs, cafes, pâtisseries, snack bars and other bars), the Faculty of Engineering’s restaurant will be CLOSED as of Monday, 19 October 2020, until further notice.

Should you need any help, please contact the Secretary or Head of the Technical Maintenance Department or HR Department.

Kind regards,

Prof. Dr. Mitjan Kalin, Dean

When planning and carrying out the examination, the general instructions on infection prevention published on the website of the Faculty of Mechanical Engineering must be observed (2 meters distance from one another, constant ventilation of the room, the examiner must wear gloves, compulsory wear of protective masks for practitioners and students, who are obliged to provide masks themselves).

The examination should be as short as possible. After completion of the examination, the lecture hall must be ventilated and disinfected, so the next examinations can take place in the same lecture hall 1 hour after completion. Providers of proficiency tests must notify the Head of TVS at least 3 days in advance so that disinfection of the premises can be arranged in good time after the examinations have been held. The Students office will notify the TVS about the regular examination terms.

Students gather 15 minutes before the start of the examination in front of the lecture hall where the examination will take place, taking into account the movement protocol in the building (in a row, with a 2 m distance between individuals). The students disinfect their hands before entering the lecture hall. Disinfectants are installed in the corridors. Afterwards, under the supervision of the supervisor and after identifying the students individually, the students enter the lecture hall, keeping a distance of 2 meters, and sit down on the seats marked with a green sticker. The use of a face mask is advised also during the exam. Students with longer writing periods will be assigned to such places by the supervisor so that they do not prevent other students from leaving the room.

It is not permitted to borrow pens and prescribed accessories from one another. When the students have finished writing, they individually bring the examination paper with them and place it in a box prepared by the supervisor. The supervisor uses gloves when handling the examination papers. The examination papers are left in place for 24 hours ((s)he washes his(hers) hands after the assessment).

When students complete a written exam, they must leave the building immediately. Hanging out in the Faculty of Mechanical Engineering building is not permitted. The exception is the use of toilets.

Oral exams are conducted through online applications.

Students wash or disinfect their hands after completing laboratory work and leave the building as soon as possible. Hanging out in the Faculty of Mechanical Engineering building is not permitted. The exception is the use of toilets.

Add. 3 Examination

Before conducting the examination, students should be clearly reminded that in case of symptoms or suspected respiratory infection, they should stay at home and call a personal physician.
Written examinations are conducted by dividing the enrolled students into smaller groups who write in several lecture halls, which requires a larger number of supervisors. It should be noted that the capacity of the lecture halls is lower due to infection prevention measures, namely:

Students must sit in the lecture halls in such a way that only every third seat in a row and every second row is occupied. For this purpose, the seats in the lecture halls, on which students can sit, are marked with a green sticker.

Providers of proficiency tests must notify the Head of TVS at least 5 days in advance so that disinfection of the premises can be arranged in good time after the examinations have been held.

The student can take off the face mask during the exam when the adequate distance to another person in ensured (at least 1,5 or 2 m). The student is obliged to put the mask back on in case the professor approaches him.  The masks must be correctly used, always follow procedures for how to put on and remove a mask. When putting on or removing a mask only hold it for the ear loops, do not touch other parts of the mask.Students with longer writing periods will be assigned to such places by the supervisor so that they do not prevent other students from leaving the room.

It is not permitted to borrow pens and prescribed accessories from one another. When the students have finished writing, they individually bring the examination paper with them and place it in a box prepared by the supervisor. The supervisor uses gloves when handling the examination papers. The examination papers are left in place for 24 hours ((s)he washes his(hers) hands after the assessment), or they can be scanned and scanned copies are then evaluated for the purpose of immediate assessment.

When students complete a written exam, they must leave the building immediately. Hanging out in the Faculty of Mechanical Engineering building is not permitted. The exception is the use of toilets.

Oral exams are conducted through online applications.
