This policy applies to anyone who uses or visits the website www.fs.uni-lj.si, including its subpages.
I. Personal Data Protection
We protect your personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation; GDPR), the Personal Data Protection Act (Uradni list of the Republic of Slovenia, No. 163/22; ZVOP-2), and the internal acts of the University of Ljubljana.

The data controller for personal data processed in accordance with this policy is the University of Ljubljana, Faculty of Mechanical Engineering (hereinafter UL FS), Aškerčeva 6, 1000 Ljubljana.

Personal Data Processors
At UL FS, for the purpose of operating the website, we have two processors with whom we have defined and regulated mutual relations and obligations, including personal data protection, by means of a written contract.
The contractual processor of personal data collected when using the website is Specto, Informacijske tehnologije d. o. o., Dunajska cesta 49, 1000 Ljubljana.
The contractual processor of personal data collected for the purpose of sending e-newsletters is Squalomail d. o. o., Gabrije 33, 6250 Ilirska Bistrica.
Purposes of Processing Based on Consent
Based on the individual’s consent given when visiting the website and entering their e-mail address, UL FS processes the following personal data:
· for the purpose of sending general e-newsletters about current events at UL FS: first name, last name, and e-mail address (data is collected in the external application SqualoMail);
· for event registration purposes: first name, last name, e-mail address;
· for registration in lifelong learning programmes, micro-credentials, and summer schools: first name, last name, e-mail address, home address, telephone number, date of birth (data required for issuing certificates of completed training), for issuing invoices (first and last name, home address), and for providing information about the education for which the individual has registered (e-mail address, telephone number);
· for signing the condolence book: first name, last name, e-mail address.
Retention Period of Personal Data
Personal data collected on the basis of consent for the purposes listed above are processed and stored until consent is withdrawn, except in the case of personal data processed for event registration purposes. In such cases, personal data are stored for one month after the event has ended.
Rights of the Individual
Based on the consent given for the purposes listed above, you may exercise the following rights at any time:
· the right to access your personal data;
· the right to rectify or supplement personal data;
· the right to erasure of personal data;
· the right to restrict the processing of personal data (in certain cases);
· the right to data portability – in cases of contractual processing or personal consent and when processing is carried out by automated means.
You may submit an application to exercise any of these rights in writing by post to the University of Ljubljana, Faculty of Mechanical Engineering, Aškerčeva 6, 1000 Ljubljana, or by e-mail to dpo@fs.uni-lj.si or dpo@uni-lj.si (DPO UL).
Possibility of complaint: If you believe that your rights are not being properly exercised, we encourage you to contact us first. If this does not resolve the matter, you may file a complaint or report with the Information Commissioner of the Republic of Slovenia.
