Validity of tutorials performed

Senate Decision of 26 March 2015: Tutorials are valid for at least 3 years after a student passes them with a positive grade and meets the requirement for taking the exam. The Decision applies to the generations enrolled as of the 2014/2015 academic year.

Attendance at and fulfilment of course requirements for previous academic years

The fulfilment of missing tutorials for previous years is subject to payment pursuant to the University of Ljubljana Price List. The application for attendance at and fulfilment of course requirements for previous academic years is to be submitted by 15 September of the current academic year at the latest (by email to the Student Affairs Office).

A student suspending their studies (has no student status) pays for the fulfilment of tutorial requirements as well as for the taking of the exam.

Application for attendance at and fulfilment of course requirements for previous academic years

Students who are obliged to pay course requirements from previous years may submit an application for exemption from payment if they have justifiable grounds for it under Article 125 of the University of Ljubljana Statute. The application for exemption from payment along with any supporting documents as per Article 125 of the University of Ljubljana Statute are to be enclosed to the completed application.

External general electives

A student of a first-cycle or second-cycle study programme may select an elective subject of their own choice within the scope of the relevant General Electives pillar in any programme, faculty or university. A student may select a subject that is provided at the same study cycle as that of the student and is worth at least as many credit points as is foreseen under the study programme. If a student selects a general elective provided by some other faculty, they must send a completed application to the Student Affairs Office along with the approved syllabus of that subject (available at the Student Affairs Office of the faculty providing the elective) by the start of the academic year at the latest (29 September 2023).

INSCRIPTION OF THE GRADE FOR A GENERAL ELECTIVE

When a student passes a general elective, they obtain a Certificate of completed study requirements at the Student Affairs Office of the faculty or university where they passed the elective, and send the Certificate by email to the Student Affairs Office of the Faculty of Mechanical Engineering. When the latter receives the Certificates of completed study requirements, it will enter the grade in the VIS information system.

Change of electives

A student who wishes to change an elective within the scope of our study programmes must inform the Student Affairs Office thereof by email by 15 September of the current academic year at the latest. A change of subjects during an academic year is not possible.

The taking of bridging exams for enrolment to second cycle – applicable to the students of the Faculty of Mechanical Engineering at the University of Ljubljana

Pursuant to requirements for enrolment, graduates of the first-cycle higher-education professional study programme Mechanical Engineering – Project Oriented Applied Programme must pass 2 bridging exams before enrolling in the second-cycle Master’s study programme Mechanical Engineering – Research and Development Programme.

For students who have already passed the bridging exams Mathematics 3 (6 credit points) and one subject of their own choice from our first-cycle university study programme Mechanical Engineering – Research and Development Programme (min. 4 credit points) before the 2022/2023 academic year, the subjects are valid for enrolment in the second-cycle Master’s study programme Mechanical Engineering – Research and Development Programme.

Students who have not yet passed the bridging exams or have not been successful at the bridging exams taken in previous academic years are required to pass the following two bridging exams:

1. Integral Transforms and Fourier Analysis (6 ECTS) and
2. Partial Differential Equations, Complex Analysis and Optimisation (5 ECTS).

Students who wish to take bridging exams in the 2023/2024 academic year, must inform the Student Affairs Office thereof (at studentski.referat@fs.uni-lj.si) by Friday, 13 October 2023, at the latest.

Based on the intent expressed, the Student Affairs Office will enter the bridging exams in the VIS information system. If a student fails to communicate their intent by Friday, 13 October 2023, they will not be able to take the bridging exams in the 2023/2024 academic year.

The taking of previous bridging exams (Mathematics 3 and one other subject of own choice in the minimum value of 4 ECTS) is no longer possible in the 2022/2023 academic year, which is why all students who did not pass the bridging exams by 30 September 2022 and wish to take the bridging exams in the 2023/2024 academic year must again communicate their intent to take the bridging exams to the Student Affairs Office (studentski.referat@fs.uni-lj.si) by Friday, 13 October 2023, at the latest, so that the new bridging exams can be allocated to them (Integral Transforms and Fourier Analysis and Partial Differential Equations, Complex Analysis and Optimisation).

The taking of bridging exams for enrolment in second cycle – applicable only to the students of other faculties

Graduates of other faculties submit to the Student Affairs Office an application for the fulfilment of the missing requirements necessary for enrolment (application). The fulfilment of the missing requirements is charged according to the University of Ljubljana Price List and the Decision of the 86th College of the Deans of 17 August 2015.

Rules regarding the transitional period for the current and revised study programmes

Students enrolled in the 1st or 2nd year in the 2020/2021 academic year will complete their studies according to the former programmes if they advance regularly. The subjects from previous years not taken will be taken in the coming years:

  • With an exam in the subject according to the former study programme if a student has met requirements for taking the exam.
  • If a student does not yet meet requirements for taking the exam, but their compulsory attendance has been confirmed, they will agree on the method to meet the requirements for taking the exam with the lecturer.
  • If a student’s attendance at tutorials has not been confirmed and the student has not taken the exam, they must take the exam according to the new study programme pursuant to the table of equivalent subjects. If a subject within the former programme has no equivalent in the new programme, the student selects any subject in the new programme that has no equivalent in the former programme. The sum of credit points for the new subjects passed that way must equal or exceed the sum of the credit points of the former subjects. The grade will be inscribed to the subjects of the former study programme.

Students repeating a year and those pausing a year will be re-enrolled in the revised programme.

  • The subjects passed will be acknowledged in the revised study programme based on the recognition table for equivalent subjects. If several subjects in the former programme merge into one, the new subject is recognised if the student has gained an equivalent number of credit points or more with the former subjects.
  • If a subject of the former programme has no equivalent in the new programme, it is recognised as any elective in the new study programme. The sum of credit points of former study programme subjects thus recognised must equal or exceed the sum of credit points for new electives.
  • The missing subjects will be passed in the revised study programme.

Exam dates for the former programmes will be scheduled for at least three years following the cessation of the subject implementation (pursuant to Article 8 of the Faculty of Mechanical Engineering Study Rules).

Instructions for continuing studies for students of the former “pre-Bologna” study programmes

Students of the former “pre-Bologna” study programmes accredited before 11 June 2004 may transfer to the “Bologna” study programmes pursuant to the instructions below.

Application procedure: A student sends an application for the continuation of studies and recognition of exams (Application) to the Faculty of Mechanical Engineering (Student Affairs Office).

Applications for the issue of decisions laying down requirements for the continuation of studies following a suspension of more than 2 or more than 10 years are charged pursuant to the University of Ljubljana Price List.

The Student Affairs Office issues to the student a decision on the continuation of studies and recognition of exams* (by post) and an invoice for the issue of the decision (by email) within 21 days of receiving the application.

*A student of any former higher education programme will receive a decision for a new Bologna first-cycle higher-education study programme, whereas a student of any former university programme will receive a decision for a new Bologna first-cycle university study programme.

A student may complete the missing study requirements under the programme for which the decision is issued. To take the missing requirements needed for enrolment, the student must submit an application to the Student Affairs Office. The application is to be sent following the receipt of the decision. The student enters in the application only those subjects for which they have not yet passed the tutorials and intend to do so in the current academic year. All information regarding the implementation of a subject is to be discussed with the relevant lecturer.

The fulfilment of missing requirements is charged according to the University of Ljubljana Price List and the Decision of the 86th College of the Deans. The scope of the fulfilment of missing requirements for previous years is not limited.

Enrolment application procedure (following the fulfilment of requirements):

When a student meets requirements for enrolment (requirement for enrolment in the 2nd year: min. 48 first-year credit points recognised, requirement for enrolment in the 3rd year: 60 first-year credit points recognised and min. 48 second-year credit points), they may apply for enrolment in the 1st or senior year pursuant to the Call for Enrolment (the year and type of enrolment is determined by a committee with a decision). The common provisions of the Call for Enrolment lay down enrolment under the criteria for advancement or, rather, requirements for accelerated advancement as enrolment or application for enrolment in a senior year. Students who already meet requirements pursuant to the advancement criteria, i.e. newly termed requirements for enrolment in a senior year (2nd or 3rd year), may apply via the eVŠ system.

Requirement for enrolment in the 1st year: Application for 1st year takes place via the Higher Education Application and Information Service pursuant to the Call for Enrolment in Undergraduate and Integrated Master’s Study Programmes. It is necessary to apply within the first application period via the eVŠ portal.

Requirement for enrolment in a senior year: A candidate may enrol in a Bologna study programme if at least half of the ETCS requirements from the first study programme referring to compulsory subjects of the study programme are acknowledged. If, in the recognition procedure, at least as many and those credit points that make up the requirement for enrolment in a senior year are recognised to a candidate, the candidate is permitted to enrol in a senior year. The first application period for enrolment in a senior year lasts from February to the beginning of March, while the second application period for enrolment in a senior year lasts through the first half of September.

Tuition fee:  At the end of January 2017, the Senate of the Faculty of Mechanical Engineering adopted a decision laying down that students of former (pre-Bologna) study programmes (those who have already retaken or changed a study programme) be charged a tuition fee as per the University of Ljubljana Price List upon enrolment in a new Bologna study programme. The tuition fee for a study year for enrolment to a higher-education/university study programme amounts to: €5,500.00.

The decision was adopted on the basis of Article 77 of the Higher Education Act: “Tuition fees and other contributions for officially recognised study programmes shall constitute income of the higher education institution and shall be determined in accordance with a regulation issued by the minister responsible for higher education. The regulation referred to in the previous paragraph may also define other contributions for other individual services of a higher education institution. Tuition fees may not be charged to citizens of the Republic of Slovenia or citizens of other European Union Member States for education in officially recognised undergraduate study programmes and officially recognised postgraduate second-cycle study programmes implemented as a public service. Notwithstanding the preceding paragraph, citizens of the Republic of Slovenia and citizens of Member States of the European Union may be charged tuition fees if they have already obtained a level of education that corresponds to at least a level of education obtained in the study programme in which they are enrolled, or have not yet obtained a level of education that corresponds to at least the level of education to be obtained in the study programme in which they are enrolled and whose student status expired in accordance with Article 70 of this Act in the previous study programme.”

Student card duplicate

In case of a lost, stolen or destroyed student card, a student may apply for the issue of a duplicate at the Student Affairs Office. It is necessary to present a certificate of document cancellation from the Official Gazette; Dunajska cesta 167, Ljubljana (Bežigrad bypass) or http://www.uradni-list.si/2, Note: Cancellation of student cards. Exam registration

A student may take an exam if they have registered for the exam on time. A student must register for an exam at least 72 hours before the announced exam date via the VIS system, i.e. under the section Exams/Exam registration. After that period, it is no longer possible to register for an exam.

Upon registering, a student selects the subject for which it is registering and the exam date. When the exam registration is successfully submitted, the VIS system will confirm it and the open registration is shown in the table Closest exam dates for outstanding subjects, which is on the homepage. A student is responsible for a timely, correct and complete exam registration, which is why the student is required to contact the Student Affairs Office on the same day in case of any problems while registering for an exam.

The section Exams/Review of registrations allows a student to review the exams for which they have registered.

Exam deregistration is possible no later than one day before the exam until 12 noon. It is not possible to deregister from an exam via the Student Affairs Office after the deadline.

Board exam registration

A first-cycle or second-cycle student who as of the 2017/2018 academic year enrols for the first time in any year may take an exam free of application and board of examiners three times. An exam is taken for the fourth time before a board of examiners, whereas for the fifth and, at the same time, last attempt to take the exam before a board of examiners, the student is required to submit a request to the Senate of the Faculty of Mechanical Engineering. If a first-cycle or second-cycle student (enrolled for the first time before the 2017/2018 academic year) has not yet passed the exams for the year in which they have already been enrolled, they may take them pursuant to the former University of Ljubljana Statute, i.e. 3 times without the application and boards of examiners, the fourth and fifth time before a board of examiners, whereas the student must submit an application to the Faculty Senate to take the exam for the sixth time, which also takes place before a board of examiners.

Senate meetings are specified in advance for the entire academic year in the time schedule. A student must submit the application to the Student Affairs Office at least 3 working days before the Senate meeting.

Status of a student with special needs

Applications submitted by 30 September will be considered by the committee in the 1st week of October.

Instructions for withdrawal from the Faculty

To withdraw from the Faculty of Mechanical Engineering, a student needs the following documents:

A student delivers the application and student card to the Student Affairs Office in person during opening hours or sends them by post. To withdraw from the Faculty, a student must have settled all invoices and returned all books to the Faculty Library.
